Tenants type an account number. If it is the unit reference, the payment matches by itself.
Till
There is no account number, so each payment must be matched by a person.

If you have neither
Record cash and bank payments by hand and give clear payment instructions.
Tell tenants the reference
Print it on the invoice and the receipt so it is never guessed.
